West and Coe Limited is a privately owned, independent, family-run Funeral Directors offering the highest standard of care and facilities. As members of The National Society of Allied and Independent Funeral Directors (SAIF), we abide by a strict Code of Practice.

The personal data we will request from you and process is:

  • Your full name
  • Your relationship to the deceased
  • Postal address
  • Landline and/or mobile telephone numbers
  • Email address

The personal data we collect will be used for the following purposes:

  • Fulfilment of the funeral service.
  • Disclosure to necessary third parties involved with the funeral service, such as Church Authorities, Crematoria, Ministers, Local Authorities, Press/Printers, Nominated Charities for donations, Caterers, and Stone Masons.

Our legal basis for processing standard personal data:

  • Fulfilment of a contract to perform the funeral service.

Any legitimate interests pursued by us for administrative or aftercare purposes:

  • Advice on pre-paid funeral plans.
  • Details on fingerprint jewellery.
  • Probate information.
  • Bereavement & Aftercare support.

Sensitive Personal Data (Special Category Data)

Where we process sensitive personal data (such as religious beliefs or medical data relating to the deceased or family), we will establish a specific legal gateway or seek your explicit consent. Where consent is used, you may withdraw it at any time by contacting us.

Disclosure & Third Parties

West & Coe will only pass on your personal data to  third parties to safely arrange the funeral. These include:

  • A local crematorium for the purpose of organising the cremation.
  • A local cemetery for the purpose of organising the burial.
  • A nominated minister or celebrant for the purpose of arranging the service.
  • A local musician for the purpose of coordinating your musical choices.
  • Other relevant service providers as outlined in section 3.1.

Data Security

We take technical and organisational security measures to protect your personal data from unauthorised access, loss, misuse, or alteration. Access to your information is strictly restricted to employees and authorised third parties who have a business need to know.

Retention Period

We will process personal data for as long as necessary to fulfil your funeral services and will securely store the data indefinitely to comply with future legal or tax requirements, and to assist your family with future funeral arrangements.
